HCMG Privacy Statement

The following privacy statement is issued by Health Care Management Group, LLC ("HCMG") which acts as the billing and collection agent for medical practices throughout the Washington-Baltimore geography.

We consider patient privacy to be fundamental to our business.  HCMG, on behalf of its medical clients, routinely encounters confidential information -- both personal and medical in nature.  This information is used to generate medical claim forms which are used to invoice insurance carriers and patients.  The Health Insurance Portability and Accountability Act (HIPAA) governs the collection and dissemination of confidential medical information in a public domain or through a public medium.  Although these regulations continue to be updated, HCMG assures its clients and their patients that confidential information collected by HCMG will not be used for any purpose other than indicated above.

What information do we collect?  In order to generate a medical claim form, insurance carriers require the submission of personal information of the patient as well as detailed procedure and diagnosis information rendered by your physician.  Without this information, your insurance carrier will reject the claim.  HCMG obtains the requisite personal and medical information through direct interface with a hospital or physician provider.  In many cases, HCMG receives medical information separate from personal information, and we match the two data elements in order to complete a medical claim form.

  • social security number
  • address
  • telephone number
  • employer information
  • date of birth

The medical information collected includes, but is not limited to, information about your...

  • medical history
  • medical procedure(s) performed
  • diagnosis
  • physician's office notes

In addition, in the event payments arrangements are made by credit card -- either through the hospital, physician provider, mail or internet -- HCMG collects your credit card number and expiration date.

What do we do with this information?  HCMG's business function is to generate medical claim forms and collect payments on behalf of our hospital and physician clients.  As stated above, insurance carriers require the submission of personal information of the patient as well as detailed procedure and diagnosis information rendered by your physician.  All of the personal and medical information that we collect is for the sole purpose of fulfilling this business function.

HCMG does not sell, license, or distribute any personal or medical information to any parties who are not primary to the transaction or acting in the capacity of billing/collection agents.  HCMG does not market, promote, advertise or solicit any personal or medical information to any party.

Security.  This website takes every precaution to protect users' information.  When patients submit sensitive information via this website, your information is protected both online and off-line.  When our payment form asks for credit card information, that information is encrypted and is protected with the best encryption software in the industry -- SSL.  While on a secure page, such as our credit card payment page, the "lock" icon on the bottom of web browsers such as Netscape Navigator and Microsoft Internet Explorer becomes locked.

While we use SSL encryption to protect sensitive information online, we also enforce strict procedures to protect patient information off-line as well.  All patient information -- whether sensitive or not -- is restricted in our offices.  Only employees who need the information to perform a specific billing or collection task are granted access to personally identifiable information.  Our employees utilize proprietary software which require an authorized user ID and password to access our billing/accounts receivable system as well as a separate password to access specific client accounts within that system.

HCMG's employment policies reiterate the handling of sensitive information and provide for immediate termination of employment in the event any sensitive information is inappropriately utilized or distributed.
